Cancellation Policy

APPLIES TO ALL TRAVELERS

In order to cancel your participation in a program, please email us at info@globalcitizenadventurecorps.org stating “Cancellation” in the title of the email. Please include your full name, dates of travel, and destination in the body of the message. Cancellation will only be effective when we have received from the person traveling on a program a written confirmation of his or her decision to withdraw. An email to us stating that you desire to withdraw from a program is an irrevocable notice and you cannot subsequently change your mind even if we have not yet acknowledged the withdrawal in writing.

We plan our programs and pay vendors months in advance. Once your spot is reserved, we make payments on your behalf that are often non-refundable. Because of this, we cannot absorb losses caused by late cancellations or missed payments.

  • Monthly payments are required to keep your reservation active.

     

  • If you fall behind on payments, your spot may be forfeited and treated as a cancellation.

     

  • Refunds, if any, depend on how far before departure you withdraw.

     

  • GCAC always retains any non-refundable costs already paid to vendors (airlines, hotels, in-country partners, etc.) and the 10 percent deposit.

Balances may be paid early, all at once, or by using GCAC’s interest-free payment plan.
If you need an alternate schedule, contact your program leader before enrolling.

Cancellation by Participant

If you withdraw for any reason or fail to meet payment deadlines, GCAC will apply the following policy:

61 or More Days Before Departure
GCAC retains the 10 percent non-refundable deposit and any non-refundable vendor payments (such as flights, hotels, or partner deposits).
Any remaining amount you have paid above those costs will be refunded.
If vendor payments exceed the total you have paid, the outstanding balance is still owed.

15 to 60 Days Before Departure
GCAC retains the 10 percent non-refundable deposit and all non-refundable vendor costs.
Refunds will not exceed 25 percent of the total program cost, and only if sufficient funds remain after covering vendor payments. If vendor payments exceed the total you have paid, the outstanding balance is still owed.

0 to 14 Days Before Departure
GCAC retains 100 percent of the total program cost.
If the total program cost has not yet been paid in full, the remaining balance is still due.

After Departure
No refunds are available once a program has begun, regardless of participation level, early departure, or expulsion.

Cancellation by GCAC

If GCAC must cancel a program due to factors beyond our control, participants may choose to:

  1. Transfer all payments made to another GCAC program within 12 months, or

     

  2. Receive a refund, minus any non-refundable vendor payments already made on their behalf.

GCAC is not responsible for incidental costs such as passports, visas, vaccinations, personal travel insurance, or independently purchased airfare.

Recommendation

We strongly recommend that participants purchase comprehensive travel insurance covering trip cancellation, medical expenses, and travel delays.

 

CANCELLATION INSURANCE

Trip cancellation coverage should be purchased by each traveler. GCAC is not responsible for securing individual policies and does not recommend a specific provider. Read the fine print carefully before purchasing.
